Zoom Integration Guide

LaunchSite OS lets health & fitness coaches connect their own Zoom account so that, when a client books a call through the coach’s booking page, a Zoom meeting is created automatically and the join link is sent to both people. This guide explains how to add, use, and remove the Zoom integration.
1. What the integration does
When a coach connects Zoom and selects it as their meeting provider, LaunchSite OS creates a scheduled Zoom meeting on the coach’s own Zoom account each time a client books a call. The meeting’s join link is included in the calendar invite and the confirmation emails sent to the coach and the client. We never access meeting content, recordings, chat, or participant data — only the meeting we create on your behalf.
2. Adding (connecting) the app
- Sign in to LaunchSite OS as a coach.
- Go to Calendar → Booking.
- In the Zoom panel, click Connect Zoom.
- You’ll be sent to Zoom to sign in and authorize LaunchSite OS. Approve the requested permissions (create meetings, and read your account email to confirm which account is linked).
- After approving, you’re returned to LaunchSite OS and the panel shows “Connected to {your Zoom email}”.
3. Using the app
- In Calendar → Booking, set Meeting link to Zoom and save.
- Share your public booking link with clients.
- When a client books a time, LaunchSite OS creates a scheduled Zoom meeting on your account and includes the join link in the calendar invite (.ics) and the confirmation emails to you and the client.
4. Removing (disconnecting) the app
You can disconnect at any time, in either place:
- From LaunchSite OS: go to Calendar → Booking and click Disconnect in the Zoom panel. This immediately deletes the Zoom authorization tokens we store for you.
- From Zoom: sign in to the Zoom App Marketplace → Manage → Installed Apps, find LaunchSite OS, and click Remove. Zoom notifies LaunchSite OS of the removal, and we automatically delete the Zoom data we stored for your account.
5. Data we store
For the integration to work we store, server-side and encrypted at rest, your Zoom OAuth access and refresh tokens, your Zoom account email and identifiers (to display the connected account and to process removal), and the join URL of each meeting we create. We do not sell this data or use it for advertising. See our Privacy Policy for full details.
